Preparing For Enrollment Season

With open enrollment season fast approaching, juggling the many duties of a human resource manager while at the same time analyzing, implementing and effectively communicating employee benefits for the new plan year can be daunting.?

Below are several tips and tricks to assist in managing a successful open enrollment:

Pre-Enrollment Period - Planning Ahead

  • Customize offerings to your employee population after surveying them to determine their benefit interests.
  • Make necessary changes to your benefits offerings early on to avoid rushing at the last minute.
  • Consider offering new benefits, even if they are 100% voluntary.

Know your Benefits

  • Provide meetings with employees to review coverage options and changes.? Also offer information about the benefits in various formats to your employees ? Intranet tools, one-on-one meetings or mailers.
  • Distribute?to employees any pamphlets or brochures provided by the carrier or third-party administrator.
  • Communicate helpful 800 numbers and websites to employees looking for additional information.
  • Provide answers to basic questions such as how much premiums will increase, new coverage options, plan comparisons.

Enrollment

Make sure employees have received enrollment materials including:

  • Open Enrollment Schedule including Deadline
  • Summary of Benefits and Coverage (SBC)
  • Plan-Specific Changes and Rates
  • Plan Specific Summaries
  • Open Enrollment Booklet/Forms
  • Any required Compliance Notices
  • Resource Contact Information

Post-Enrollment

  • Check enrollment forms for missing information
  • Submit all enrollment information to carriers
  • Revise payroll deductions as applicable

Guiding your employees through the open enrollment period can be rewarding for both the employee and the HR team.? By providing open lines of communication through the HR Department and assisting employees with the election decision process, your employees will feel more secure in their benefits decisions throughout the year.
